Put every stop in the correct sequence

Write the starting address, each intermediate location and the final destination in order. State whether each stop is for collecting someone, dropping off luggage or spending time at a location. Include the full property name and entrance where possible. A list of destinations without a sequence leaves the team guessing how the journey should work.

Check the proposed sequence with everyone traveling. The shortest route on a map may not match a hotel checkout, a venue appointment or a passenger’s availability. If any stop has a fixed time, highlight it before requesting a quotation. Ask the team whether the schedule is realistic.

Distinguish a brief stop from waiting service

Check that the confirmation includes every agreed stop and the correct final destination. Review waiting arrangements, the total price and any separate return service. If the booking form only accepts one pickup and one drop-off, contact the team with the full plan instead of entering a direct route and adding unconfirmed stops in a note.

On the day, keep one group contact available and have passengers ready at the confirmed locations. Report a cancelled stop or a changed address as soon as possible.
